Join us at suena as **Executive Assistant (F/M/X) in our Hamburg office (hybrid mode)** and support us in ensuring all the details in our processes are set right.
**suena**, short for **su**stainable **en**ergy **a**pplications, is a green tech startup specializing on energy trading software for Energy Storage Systems. The focus lies on maximizing profits and reducing risks on short-term electricity and balancing markets for grid-scale energy storage asset owners through our AI-based optimization and trading software.
As a member of our team, you will be responsible for providing comprehensive **administrative, operational support**. This is a **junior** position, we want you to be motivated and self-initiative, willing to boost own professional growth and establish a long-term career journey with us. You are the person who initiates the change, not just reacting to the changing environment. Suena WILL help you boost your potential if you fit this profile.
**What you will be doing**:
- Assisting General Office Support: assist our team with the tasks that requires efficient functioning in the office, such as organizing and maintaining office supplies, managing office equipment, handling company’s postage etc.
- Calendar Management: Maintain the Managing Director's calendar by scheduling appointments, meetings, and conferences. Coordinate with internal and external stakeholders to secure availability and resolve scheduling conflicts.
- Contract management: Assist with the administration of assigned contracts and related submittals, Coordinate the preparation of assigned documentation through the internal approval process, Monitor contract submittals to ensure timely and coordinated responses, as well as compliance with terms and conditions, Perform contract loading, corrections, changes, database management, installs, and work tickets.
- Collaborate with various company departments to provide support in their projects.
**Requirements**:
- Degree in Business / Office Administration or equivalent relevant field;
- Strong written and verbal communication skills in **German & English**;
- Excellent organizational skills and attention to detail;
- Ability to maintain a high level of confidentiality and exercise discretion in handling sensitive information;
- Ability to work independently and as part of a team;
- Adaptability and flexibility to accommodate changing schedules and priorities;
- Strong problem-solving skills and the ability to anticipate needs and proactively address issues.
**That would be a big plus**:
- Previous experience as an executive assistant or personal assistant, preferably supporting senior executives or managing directors;
- Proficiency in office software and database management tools (Microsoft Office Suite, project management tools etc.)
