Clinical Administration Specialist

OBJECTIVE:

To provide comprehensive secretarial and administrative support to healthcare management, ensuring the smooth operation of daily activities and maintaining confidentiality in all assignments.

KEY RESPONSIBILITIES:

Deliver a wide range of administrative assistance under general supervision, focusing on tasks that require discretion and confidentiality. Manage complex secretarial duties, relieving management of clerical responsibilities and ensuring efficient business operations. Establish and uphold an organized filing system for departmental records, databases, and management of documentation. Draft and prepare memos, correspondence, meeting agendas, minutes, and policy documents. Gather, compile, and analyze data as requested by supervisors, aiding in departmental reporting and compliance. Assist in budget preparation and monitor expenses, ensuring accurate invoicing and financial tracking. Conduct standard administrative tasks, including managing phone calls, sorting mail, scheduling appointments, and coordinating meetings. Organize travel logistics and process expense reimbursements. Collaborate with various levels of management and external partners to facilitate communication and operations. Serve as a liaison for other departments, such as IT and HR, as needed. Support various projects as directed by immediate supervisors. Perform additional duties as required.

EDUCATIONAL REQUIREMENTS:

High School Diploma is mandatory; specialized training in secretarial practices is preferred.

EXPERIENCE AND SKILLS REQUIRED:

A minimum of 1 to 2 years of relevant experience is necessary. Familiarity with business and technical terminology. Understanding of standard business practices and procedures in administrative support. Ability to apply basic reasoning and analytical skills effectively. Proficiency in Microsoft Office Suite, including spreadsheets, presentations, and database management. Strong knowledge of organizational operations and procedures. Experience in managing incoming communications while maintaining professionalism and front office etiquette.
