Administrative Coordinator (m/w/d)

Your Future Workplace:We are seeking a dedicated Administrative Coordinator (m/f/d) for our client, a prominent multinational IT corporation located in Munich. This organization is recognized as one of the largest software vendors globally and a leading provider of cloud computing solutions, video games, computer hardware, and various online services.

Your Responsibilities:

- Proactively manage the executives' schedules by coordinating their calendars, travel arrangements, accommodations, team events, and daily meeting requests (both internal and external) while assessing priorities.
- Oversee specific projects, both small and large, on behalf of the respective leaders.
- Acquire knowledge of the business group's strategy and functional expertise to serve as a valuable information resource.
- Prepare for meetings as necessary, track action items regularly, ensure meeting objectives are communicated in advance, and follow up on action items.
- Manage and track travel expenses and reports.
- Centralize information using Microsoft tools and applications, effectively disseminating information.
- Exercise sound judgment, diplomacy, integrity, and professionalism in all interactions, particularly when handling confidential and sensitive information.
- Maintain a strong focus on compliance with internal processes and policies.

Your Profile:

  • Prior experience in senior-level administrative roles within a dynamic environment.
  • Fluent in both German and English, with professionalism in written and verbal communication.
  • Self-motivated with a proactive, hands-on approach.
  • Willingness to learn new tools and processes that enhance business operations.
  • High integrity and ability to maintain confidentiality regarding sensitive materials.
  • Proactive in anticipating the needs of executives.
Ability to navigate ambiguity and work independently to achieve results with precision. Proficient in Outlook, MS Teams, and Microsoft 365. Organized and efficient, capable of prioritizing tasks, team-oriented, and structured. Strong problem-solving skills with the ability to manage multiple competing demands and effectively prioritize. Capable of working under tight deadlines and multitasking in high-pressure situations.
