DuDeChem is a Green Chemistry startup rooted in the German Cluster of Excellence in Catalysis at the University of Technology Berlin. We are a small but driven team committed to our mission: guided by the 12 Principles of Green Chemistry, we strive to build a green chemical-pharmaceutical industry. This sector currently consumes over 13% of global fossil resources, most of which are used in manufacturing—and we are determined to change that.
To achieve this, we have developed a robust IP portfolio and successfully brought our technology to market, focusing on reducing or reusing costly resources in chemical and pharmaceutical production.

**The Role**: Executive Assistant & Office Manager
As our Executive Assistant & Office Manager, your mission is to create a well-organized, efficient, and supportive environment that allows our CEO and team to focus on what matters most: transforming the chemical-pharmaceutical industry. You’ll be the reliable point of contact for daily operations, ensuring everything runs smoothly, anticipating needs, and helping the team stay one step ahead. Your proactive approach and attention to detail will be essential in driving our shared vision of a greener, more sustainable future & responsibilities.
Tasks
**Key Responsibilities**:
- Provide daily support to our CEO by managing her calendar, arranging travels, and handling other administrative tasks.
- Plan, schedule, and coordinate team meetings and events, ensuring everything is well-prepared.
- Track office inventory, maintain equipment, ensure smooth operations, and troubleshoot when necessary.
- Take meeting minutes and ensure they are distributed to the relevant parties.
- Engage with customers and investors, address their concerns, and escalate issues when required.
- Take ownership of administrative processes and identify areas of improvement.
- Play a role in building and nurturing a high-performing team by participating in onboarding and employee engagement activities
- Assist in the onboarding of new employees by setting up laptops and training new employees on new tools
**Requirements**:
Qualifications & Skills
- Relevant work experience or a B.S. in Management or a related field.
- Strong proficiency in English (mandatory).
- 1+ years of experience in administrative support or executive assistance (preferred).
- Proficiency in MS Office (Word, PowerPoint, Excel, Outlook) and openness to learning new software tools.
- Flexibility, team orientation, and the ability to adapt to dynamic needs.
- Exceptional organizational skills, even under pressure.
- A proactive mindset and a solutions-driven approach to challenges.
