Job Summary

We are seeking an experienced Executive Assistant to provide high-level administrative support to the Commercial Director and Area Head of Talent, Culture & Inclusion. The successful candidate will be responsible for managing complex projects, coordinating meetings, and ensuring seamless day-to-day operations.

Key Responsibilities

  • Act as a trusted partner to the Commercial Director and Area Head of Talent, Culture & Inclusion, providing critical insights and feedback.
  • Manage projects and initiatives, ensuring timely completion and effective communication with stakeholders.
  • Support the Commercial Director and Area Head of Talent, Culture & Inclusion in running leadership meetings, taking minutes, and following up on actions.
  • Collate and analyze data using pre-set tools, methods, and formats.
  • Prepare and review presentations, reports, and other documents for decision-making.
  • Have fun at work, help others do the same, and act as a role model for the BAT Values.
  • Draft, review, and manage correspondence and communications on behalf of the Commercial Director and Area Head of Talent, Culture & Inclusion.
  • Serve as a point of contact between executives, employees, stakeholders, and external partners.
  • Facilitate communication and collaboration across departments.
  • Handle confidential information and sensitive issues with discretion.
  • Organize and coordinate meetings, including preparing agendas, note-taking, and ensuring follow-up on action items.
  • Oversee daily operations of the executives' offices, ensuring efficient workflows.
  • Develop and implement processes and systems to improve operational efficiency.
  • Manage schedules, including appointments, meetings, and travel arrangements and expenses.
  • Classical office management duties: ordering office supplies, mail, records management, welcoming visitors.

Requirements

  • Bachelor's degree in Business Administration, Management, or a related field.
  • 2-3 years of professional experience, ideally in FMCG or another big corporation.
  • Independent working, flexibility, resilience, prioritization, and exceptional time management.
  • Good communication skills, especially with senior stakeholders.
  • A high level of discretion, integrity, and appropriate assertiveness in coordinating and cooperating with all levels of an organization.
  • Ability to handle multiple tasks and projects simultaneously in a highly ambiguous environment.
  • Solid analytical and critical thinking skills.
  • Excellent MS Office skills.
  • Very good proficiency in both English and German.
