Position: Office Coordinator, Germany
Role Objective: The primary goal of this role is to execute high-quality administrative tasks focusing on office coordination and the planning of meetings and events for designated areas.

Required Qualifications:
  • Completed commercial training or equivalent
  • A minimum of 2 years of experience in office or project management/team support
  • Proficient in both German and English (verbal and written)
  • Excellent self-management and multitasking abilities
  • Strong adaptability and willingness to learn
  • Proven problem-solving skills
  • Exceptional communication abilities
  • Team-oriented mindset
  • Proficient in MS Office applications
  • Experience in event coordination is a plus
  • Technical proficiency is advantageous
  • Familiarity with pharmaceutical regulations and contracts is beneficial
  • Medical knowledge is a plus

Key Responsibilities:

Office Coordination:
  • Greet external visitors and facilitate on-site meetings, manage office supplies, oversee the regular mailbox, and assist with document scanning and filing.
  • Collaborate closely with our Office Maintenance provider and internal EHS&S Team.
  • Assist in organizing internal office meetings.
  • Actively participate as a member of the administrative office staff in accordance with business needs and group guidelines, in coordination with the Sr Manager Operations.
  • Prepare for and engage in internal meetings and area team meetings.
  • Clarify processes related to Finance, Compliance, and Legal with the respective departments.

Project Management:
  • Coordinate third-party events, BioMarin-organized meetings, and HCP participation in events.
  • Communicate and collaborate with the sales team to execute events.
  • Prepare contracts for sponsorship, speakers, consultants, and participants.
  • Facilitate contract development between external parties and our compliance and legal teams.
  • Ensure timely execution of approval processes for event-related materials (flyers, presentations, invitations, etc.).
  • Manage project budgets and ensure adherence to all financial processes.
  • Coordinate travel arrangements for invited participants.
  • Document compliance requirements and associated costs.
  • Maintain an annual overview of events/projects and their budgets.
  • Support the Marketing/Product Manager with contract and budget oversight.
  • Potentially organize area team meetings.
