Position Title: Office Coordinator, Germany

Position Objective:
The primary goal of this role is to deliver exceptional administrative support with an emphasis on office coordination and the planning of meetings and events in designated areas.

Required Qualifications:
  • Completion of commercial training or equivalent experience
  • A minimum of 2 years of relevant experience in office or project management
  • Proficiency in both German and English, both spoken and written
  • Excellent self-management skills and the ability to handle multiple tasks
  • High adaptability and eagerness to learn
  • Strong problem-solving capabilities
  • Exceptional communication skills
  • Ability to work collaboratively within a team
  • Proficient in MS Office applications
  • Experience in event management is beneficial
  • Technical knowledge is a plus
  • Familiarity with pharmaceutical compliance and local regulations is advantageous
  • Background in medical fields is a plus

Key Responsibilities:

Office Coordination:
  • Greet external visitors and facilitate on-site meetings
  • Manage procurement of office supplies and oversee regular mail handling
  • Assist in organizing internal meetings and events
  • Collaborate closely with the office maintenance team and internal EHS&S department
  • Actively participate in internal and area team meetings
  • Clarify processes related to finance, compliance, and legal matters with relevant departments

Project Management:
  • Coordinate third-party events and BioMarin-hosted meetings
  • Communicate and collaborate with the sales team to execute events
  • Prepare contracts for sponsors, speakers, consultants, and participants
  • Facilitate contract negotiations between external parties and compliance/legal teams
  • Ensure timely approval processes for event-related materials
  • Manage project budgets and ensure adherence to financial protocols
  • Coordinate travel arrangements for invited participants
  • Document compliance requirements and associated costs
  • Maintain an annual overview of events/projects and their budgets
  • Support marketing and product management with contract and budget oversight
  • Organize area team meetings as needed
