Office Management Coordinator – Executive Support

Position Overview

We are seeking a dedicated Office Management Coordinator to join our team at Snke OS. This role involves direct collaboration with the General Management and encompasses a variety of essential responsibilities:

  • Office Operations Management: Serve as the primary liaison for all office-related matters, ensuring smooth internal and external communications.
  • Supplier Coordination: Oversee and evaluate external service providers, including catering, facility management, and contractors for office renovations.
  • Financial Oversight: Manage and analyze office-related budgets and expenses, ensuring cost efficiency.
  • Performance Monitoring: Assess supplier performance and recommend enhancements to processes and services.
  • Cross-Department Collaboration: Work closely with various operational teams within the organization, including IT, Business Applications, and Purchasing.
  • Financial Team Interaction: Collaborate with Corporate Finance teams to ensure accurate financial reporting and compliance.
  • Document Management: Organize and maintain records related to office operations, such as contracts and agreements.
  • Project Support: Assist in special initiatives aimed at optimizing office functions, including virtual reception and catering services.
  • Event Coordination: Take charge of organizing Snke OS events, including budget management for partner/customer visits and team gatherings.
  • Time Management Support: Help maximize the efficiency of the General Management's schedule.
  • Internal Communication: Facilitate communication within Snke OS through platforms like Microsoft Teams.
  • Marketing Assistance: Aid in the creation and distribution of digital marketing materials.
  • Inventory Management: Oversee the stock of marketing materials and office supplies.
  • Interdepartmental Collaboration: Ensure ongoing cooperation with General Management, R&D, Business Development, and Marketing.
  • Compliance Assurance: Guarantee that project work adheres to quality management and legal standards.
Qualifications
  • Completed education or apprenticeship in business, marketing, or a related field.
  • Preferably some experience in a similar role through internships or student positions.
  • Exceptional organizational skills and ability to work independently.
  • Strong verbal and written communication abilities.
  • Proficiency in both German and English.
