Position Overview

We are seeking a dedicated Executive Office Coordinator for our Snke OS location. This role involves direct collaboration with the General Management and encompasses a variety of responsibilities:

  • Office Management: Oversee daily office functions, serving as the primary liaison for all internal and external office-related inquiries.
  • Supplier Coordination: Manage relationships with external vendors, including catering services, facility management, and contractors for office renovations.
  • Financial Oversight: Monitor and control budgetary expenditures related to office operations, providing detailed financial analyses as needed.
  • Performance Monitoring: Evaluate supplier performance and recommend enhancements to processes or services when necessary.
  • Collaboration: Work closely with various operational teams within the organization, including IT, Business Applications, and Purchasing.
  • Financial Collaboration: Partner with Corporate Finance teams to ensure alignment on accounting and financial operations.
  • Document Management: Organize and maintain essential documents related to office operations, such as contracts with suppliers.
  • Project Support: Assist in special initiatives aimed at improving office functionality, including virtual reception and food service offerings.
  • Event Coordination: Take charge of organizing Snke OS events, including customer visits and team gatherings, while managing associated budgets.
  • Time Management: Aim to optimize the General Management's schedule for maximum efficiency.
  • Internal Communication: Facilitate internal communications through platforms like Microsoft Teams.
  • Marketing Support: Aid in the creation and distribution of digital marketing materials, including videos and presentations.
  • Inventory Management: Oversee the inventory of marketing materials and office supplies.
  • Cross-Departmental Interface: Ensure seamless collaboration with General Management, R&D, Business Development, and Marketing.
  • Compliance Assurance: Guarantee that project activities adhere to quality management and legal standards.
Qualifications
  • Completion of a degree or vocational training in business, marketing, or a related field.
  • Preferably some experience in a similar role through internships or student positions.
  • Exceptional organizational abilities and a proactive work ethic.
  • Strong verbal and written communication skills.
  • Proficiency in both German and English.
