Administrative and Customer Service Assistant

The **Interim** **Administrative Assistant** is responsible for supporting our Admin Team in organizing our Executive Management Members´ daily schedules and is based in our Darmstadt office. The position is limited for 6 months.
**In this role, you will have the opportunity to**:
- Review documents and collect signatures, including visa invitation letters and handle incoming mail, including filing of documents both digitally and in paper form
- Support meetings held in our office premises
- Order handling - Produces quotations and processes customer orders in line with company policy/guidelines. Co-ordinates deliveries with the customers, liaises with internal departments (e.g. service, logistics, sales) and updates relevant business systems to ensure on time deliveries and on time recognition of revenue. Responsible for processing customer returns of material and instrument moves.
- FSE coordination - Acts as a contact point for Field Service Engineers (FSE), ensures timely assignment of work orders, creation of cost estimates and service request billing. Ensures a timely handling of quotes initiated by FSEs (leads)
**The essential requirements of the job include**:
- Thorough experience in a similar role as Team or Executive Assistant in a global company
- Excellent language skills in German and English
- Knowledge of MS Office tools and ERP Systems (i.e. Word, Excel, PowerPoint, Oracle/SAP)
- Experience in Customer Service in an international environment with different stakeholders, internally and externally
**It would be a plus if you also possess previous experience in**:
- CWT and/or Concur Travel and Concur Expenses
