Executive Assistant to the Director of the Landesmusikakademie Berlin

About the Role:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our Management Team at the Landesmusikakademie Berlin. As a key member of our team, you will provide administrative support to the Director and other team members, ensuring the smooth operation of our office.
Key Responsibilities:
Front office management of the Landesmusikakademie Berlin
Independent handling of administrative tasks in complex and house-specific matters
Conducting independent negotiations with cooperation partners
Assistance to the Director/Management of the Landesmusikakademie Berlin
Preparation and control of appointments
Processing of incoming and outgoing mail
Participant and course management using specialized software
Support for the Landesmusikakademie team in organizational and administrative matters
Responsibility for maintaining the filing system, also in electronic form
Budget management
Independent organization of smaller events
Support in event preparation and organization, event implementation, seminars, workshops, etc., including catering organization
Minutes taking of meetings
Participation in conceptual work (research, information provision, text creation, editing, etc.)
Databases management
Support for statistics
Closely working with the Reference of the Management of the Children, Youth and Family Department
Requirements:
Completed vocational training (e.g. administrative assistant, office clerk, hotel manager) or university degree
Open and communicative appearance and enjoyment of working with people
Structured, reliable, and organized working style
Initiative and care in the execution of work
Excellent German and good English language skills in writing and speaking, as well as enjoyment of writing texts
Fundamental IT knowledge of MS Office (Outlook, Word, PowerPoint, Excel)
Openness to further specialized software and tools of digitalization
Structured working method

Professional experience in similar positions and experience in public administrations
