Job Description

Vention is seeking a highly skilled and experienced HR Coordinator to join our EMEA team. As a key member of our HR department, you will be responsible for providing administrative support to our EMEA office and team.

Key Responsibilities:
  • Bureau Management:
    • Ensure a warm and welcoming reception for team members and guests, including arranging meeting rooms and catering.
    • Manage the procurement of office supplies and equipment, ensuring budgetary efficiency.
    • Coordinate with internal and external partners, including housekeeping, vendors, and maintenance personnel.
    • Manage travel arrangements for employees, ensuring compliance with company policies and budgets.
    • Organize team-building and cultural events.
  • HR Administration:
    • Maintain accurate HR databases and employee records.
    • Support and process all employment agreements and contract amendments.
    • Manage employee benefits, including health insurance and pension plans.
    • Ensure compliance with local labor laws and regulations.
    • Provide exceptional support to employees on workplace policies, career development, and employee relations.
    • Coordinate onboarding for new employees in the EMEA region, including welcome packages and office tours.
    • Collaborate with the global HR team to develop and maintain HR policies and procedures for the EMEA team.
    • Effectively communicate with management and leadership.
    • Support performance management processes, including performance evaluations, disciplinary actions, and terminations.
    • Manage changes and updates to HR systems and processes.
  • Employee Engagement:
    • Manage employee recognition and reward programs.
    • Coordinate employee engagement initiatives, including surveys and feedback mechanisms.
  • Talent Acquisition:
    • Support the recruitment and retention of top talent through effective recruitment practices, including job postings, recruitment tools, and initial contact with candidates.
Requirements:
  • 2+ years of experience in managing a bureau or similar role.
  • Excellent communication skills in English and German (written and verbal).
  • Practical and self-motivated work style.
  • Self-motivated and self-organized team player with a problem-solving approach and attention to detail.
  • Ability to communicate with various stakeholders to resolve issues cooperatively and a natural sense of service.
  • Ensuring structure and clarity: Good organizational skills, ability to prioritize tasks, and coordinate projects, but also a cool head when things don't go as planned.
