Position Overview

In the role of EMEA Human Resources Coordinator, you will oversee office and personnel-related functions within our EMEA team. You will be instrumental in fostering Vention's workplace culture across Europe. Your responsibilities will encompass office administration, HR management, cultural initiatives, and ensuring seamless integration with our North American headquarters.

Key Responsibilities:
  • Provide a warm reception for team members and visitors, arrange room configurations and catering for meetings, training sessions, and events.
  • Oversee office supplies procurement and equipment upkeep while adhering to budget constraints.
  • Collaborate with internal and external stakeholders (facility management, vendors, suppliers, cleaning personnel, technicians, safety officers, etc.).
  • Coordinate travel logistics for employees, ensuring compliance with company policies and budgetary guidelines.
  • Plan and execute team-building and cultural events.
Human Resources Administration:
  • Maintain the HR database and employee documentation.
  • Assist in processing employment contracts and amendments.
  • Manage employee records, sick leave, time tracking, and ensure compliance with local regulations.
  • Deliver exceptional support to employees regarding workplace policies, career progression, employee relations, and issue resolution.
  • Facilitate onboarding for new hires in the EMEA region, including welcome kits and office tours.
  • Work in conjunction with the global HR team on policies and procedures for the EMEA workforce.
  • Engage effectively with management and leadership.
  • Support performance management processes, including evaluations, warnings, and terminations.
  • Implement effective change management strategies in collaboration with the global HR team.
Qualifications:
  • A minimum of 2 years of experience in office management or a related field.
  • Excellent communication skills in English and German.
  • Proactive and independent work approach.
  • Self-driven team player with meticulous attention to detail, capable of prioritizing tasks and maintaining composure under pressure.
  • Able to engage with diverse stakeholders to collaboratively resolve issues and possess a natural service-oriented mindset.
  • Exhibit strong organizational skills, ensuring clarity and structure, with the ability to prioritize and manage projects effectively.
