Administrative Coordinator - Office Operations
We are looking for an Administrative Coordinator to enhance our Office Operations within the Life Science Division.
Key Responsibilities:
Professionally manage and direct incoming calls Greet and assist all visitors, ensuring proper sign-in procedures are followed Review and approve supplier invoices while reconciling discrepancies Manage director expenses and oversee credit card submissions Support the Office Manager with facility-related tasks Act as First Aider (maintaining first aid supplies) and Fire Marshall (conducting fire evacuation procedures) Assist in maintaining office cleanliness and organization as needed Track and log hot desk usage Provide coverage for the Office Manager during absences Schedule and coordinate meeting room bookings Arrange courier and taxi services Organize catering services, including beverages and snacks Oversee company orders and inventory management Update and maintain the office desk layout Coordinate travel arrangements as necessary Distribute security fobs and welcome materials to new employees Monitor security camera feeds when required Liaise with service providers for building maintenance (e.g., cleaning, gardening) Conduct DSE assessments Keep the maintenance log current Qualifications: Proficient in Microsoft Office Suite (Word, Excel) 2 to 3 years of relevant experience in a similar role Strong written and verbal communication abilities Friendly demeanor with a professional approach Effective problem-solving skills Adaptable and flexible in a dynamic environment Capable of multitasking, organizing, prioritizing, and planning effectively Benefits: Competitive salary package Pension plan and additional benefits Generous annual leave policy And much more
