Job Overview

We are seeking a dedicated and resourceful individual to become part of our team as an Office Manager at Sparkasse. In this pivotal role, you will be responsible for organizing schedules, overseeing communications, and maintaining document systems for the executive team. Your strong communication skills will be essential for both internal collaboration and external interactions with clients and partners. Your ability to manage priorities and take initiative will significantly enhance the efficiency of the management team in their daily functions.
  • Efficiently schedule and coordinate appointments for executives, ensuring optimal time utilization
  • Maintain a well-organized office environment
  • Serve as a liaison for internal and external communications, prioritizing and conveying pertinent information to the executive team
  • Organize meetings, ensuring the availability of necessary technical resources and catering
  • Oversee email and mail communications for Sparkasse, particularly for the executive team
  • Develop and uphold a reliable document management system
  • Arrange business travel logistics
  • Assist in the planning and execution of corporate events and team-building initiatives

Candidate Profile

  • Completed relevant vocational training or equivalent experience, with a background in an administrative role
  • Proven experience in scheduling and coordination, adept in contemporary communication tools and office software (e.g., Microsoft Office)
  • Excellent written and verbal communication skills, with a high level of discretion in managing confidential information
  • Professional demeanor with strong interpersonal abilities
  • Exceptional organizational skills and the ability to work independently
  • Flexibility and adaptability to meet the evolving demands of a dynamic organization
