Office Administrator/Receptionist - Frankfurt

We are seeking a highly organized and detail-oriented Office Administrator/Receptionist to join our Life Science Division in Frankfurt.

Key Responsibilities:
  • Provide exceptional customer service by answering and directing all calls in a professional manner.
  • Welcome visitors to the office and ensure a seamless sign-in procedure.
  • Process and approve supplier invoices, reconcile invoices, and manage director expenses.
  • Assist the Office Manager with facilities, including first aid and fire evacuation procedures.
  • Perform various administrative tasks, such as logging hot desk use, booking meeting rooms, and coordinating courier services.
  • Manage company orders, update the office desk plan, and book travel as needed.
  • Issue security fobs and water bottles to new starters and perform regular security camera checks.
  • Coordinate services with external providers, including Rentokil, gardeners, window cleaners, and recycling services.
  • Conduct DSE assessments and maintain a up-to-date maintenance log.

Requirements:
  • Proficiency in Microsoft Office (Word, Excel) and excellent written and verbal communication skills.
  • 2-3 years of experience in a similar position.
  • Friendly and professional demeanor, with the ability to problem-solve and multitask.
  • Flexibility and adaptability in a fast-paced environment.
