Office Administrator/Receptionist - Frankfurt

We are seeking an experienced Office Administrator/Receptionist to join our Life Science Division in Frankfurt. As a key member of our team, you will be responsible for providing exceptional administrative support and ensuring the smooth operation of our office.

Key Responsibilities:
  • Answering and directing all calls in a professional manner
  • Welcoming all visitors to the office and ensuring sign-in procedure is completed
  • Approving supplier invoices and reconciling invoices
  • Director Expenses/Credit card uploads
  • Assist Office Manager with facilities
  • First Aider (refill first aid boxes) / Fire Marshall (Fire Evacuation - Printing staff and visitor list)
  • Assist Office Manager with office tidying/clearing when required
  • Logging hot desk use
  • Cover any duties required when Office Manager is on holiday
  • Booking, co-ordinating meeting rooms
  • Booking Courier/Taxis
  • Booking lunches, making teas, coffees etc
  • Manage company orders
  • Updates to office desk plan
  • Booking travel as and when required
  • Issue security fobs/water bottles to new starters
  • Checking security cameras when required
  • Services to building i.e., Rentokil/gardeners/window cleaners/recycling
  • DSE Assessments
  • Keep maintenance log up to date

Requirements:
  • Good knowledge of Microsoft Office (Word, Excel)
  • 2 to 3 years in previous position
  • Good written and verbal communication skills
  • Friendly and professional manner
  • Problem solver
  • Flexible and adaptable
  • Ability to multi-task, organise, prioritise and plan
