Accounts Payable Specialist

As a key member of the Administration Directorate, the Finance Division is responsible for ensuring that financial assets are utilized in accordance with established regulations and directives set forth by the governing bodies of the European Southern Observatory (ESO). Our Finance Division encompasses four primary functions: Budgeting and Control, Accounting (including payroll), Invoice Management, and Treasury Operations. It operates cohesively with teams located in various regions.
We are seeking a skilled and meticulous Accounts Payable Specialist to become part of our vibrant finance team at our headquarters. In this role, you will be instrumental in maintaining the precision and effectiveness of our accounts payable operations. This is an exciting opportunity as we prepare to implement a new Enterprise Resource Planning (ERP) system.
This position is essential in supporting the Invoice Management team within the Finance Division, executing a variety of responsibilities that fall under their purview.
Key Responsibilities:
- Examine and confirm incoming invoices for accuracy, completeness, and adherence to our policies and contractual agreements;
- Work collaboratively with different departments to gather necessary documentation and resolve any discrepancies;
- Process invoices promptly to ensure timely payments to suppliers;
- Assist in the preparation of financial reports and statements as needed;
- Coordinate with Treasury to enhance cash flow management and with General Accounting to ensure proper accrual processes;
- Support audit processes and respond to audit-related inquiries.

Reports to the Head of the Finance Division.
Essential Skills and Experience:

- A minimum of five years of experience in an Accounts Payable role or a similar financial position;
- Extensive experience managing complex contracts and the ability to comprehend detailed contractual terms and ensure compliance;
- Analytical thinking and a proactive approach to problem-solving;
- Exceptional attention to detail with the capability to swiftly identify potential issues;
- Ability to work autonomously, adapt to changes, and prioritize tasks effectively;
- Proficient in using a large-scale ERP system (e.g., SAP, Oracle) and the Microsoft Office Suite (particularly MS Excel);
- Strong verbal and written communication skills, with the ability to engage effectively in diverse and multicultural settings.
Desirable Skills and Experience:
- Experience working in an intergovernmental organization;
- Ability to quickly understand and adapt to the specific context of ESO;
- Familiarity with Microsoft Dynamics NAV.
Qualifications:
A bachelor's degree in Finance or Accounting, along with a demonstrated interest in Law or a related field, is required. In lieu of a degree, relevant technical qualifications may be accepted, provided there is a minimum of eight years of directly relevant experience.
Language Proficiency:
A strong command of the English language is essential, with a good command of German being desirable, and a working knowledge of Spanish considered an advantage.
Compensation and Contract Details:

Contract Duration:
The contract is for a fixed term of three years, subject to successful completion of a probation period, with potential for extensions based on individual performance and organizational needs.
