The Opportunity

This position is part of our team at Abbott Diabetes Care in Wiesbaden, Germany. We're a global leader in developing innovative products that help people with diabetes manage their health. Our new sensing technology is revolutionizing the way people monitor their glucose levels.

In this role, you will provide administrative support to our Directors and Managers, ensuring the smooth operation of our EMEAP Headquarter. You will be responsible for providing full administrative support, including calendar management, travel arrangements, and expense reports.

Your Tasks:

  • Provide administrative support to the Commercial Team and the IT Team, as well as cross-functional teams.
  • Manage calendars for Directors, scheduling regular meetings, team meetings, and conference calls.
  • Arrange travel requirements for Directors and Managers, preparing visa documents, booking hotels and transfers.
  • Prepare travel expense reports for Directors in a timely manner, adhering to Abbott's travel policy.
  • Plan and organize internal, external, and virtual meetings across Europe, using internal systems in line with Abbott's policies.
  • Provide Accounting and Finance-related project support, including supplier selection and setup, creation of shopping carts, and follow-up on invoices and credit notes in SAP/SRM.
  • Coordinate and organize On- and Off-boarding.
  • Support and back up other members of the HQ Assistant's Team during leave or workload peaks, ensuring adequate assistance to the HQ Management team.

Your Qualifications:

  • Minimum of 5 years' experience as an Administrative Assistant.
  • Excellent organizational and planning skills, with a practical approach and ability to prioritize.
  • Ability to take the initiative and work within a team environment, requiring collaboration and communication.
  • Able to work unsupervised with a highly professional approach, possessing excellent interpersonal skills relative to the diversity of levels in the business and cultural diversity.
  • Affinity and accuracy with numbers and Finance and Accounting-related processes and policies.
  • Excellent working knowledge of Microsoft Office and other work processing programs, as well as the SAP (SRM) program.
  • Fluent English and German oral and written communication skills. Fluency in an additional European language is beneficial.
