About the Role

We are seeking a highly skilled and proactive Executive Assistant to support our Chief Information Officer (CIO) in their daily operations. As a key member of our team, you will be responsible for ensuring the smooth functioning of our IT department and providing exceptional support to our CIO.

Key Responsibilities
  • Executive Support: Manage the CIO's schedule, prioritize and coordinate meetings, and handle correspondence to ensure the CIO's focus on strategic priorities.
  • Central Point of Contact: Serve as the primary liaison between the CIO, employees, and external stakeholders, acting as a filter to manage the flow of information.
  • Office Management: Oversee administrative processes, including procurement tasks, onboarding/offboarding processes, and ensuring day-to-day operations run smoothly.
  • Communication Interface: Assist in preparing and disseminating internal communications, such as company-wide announcements and regular newsletters, working closely with the Project Management Office (PMO).
  • Event & Meeting Management: Coordinate, organize, and support internal and external meetings, workshops, and events, both locally and globally, including logistical arrangements, material preparation, and follow-up actions.
  • Project Support: Take on special projects as needed, providing data for reporting purposes, and assisting with financial forecasting.
  • Ad-hoc Responsibilities: Be prepared to tackle unexpected tasks that arise, ensuring the team and organization run smoothly.
Requirements
  • Education: A completed vocational training in business administration, IT, or a related field.
  • Communication Skills: Strong verbal and written communication skills in English and German, with the ability to convey information clearly and effectively across all levels.
  • Technical Proficiency: Solid experience with Microsoft Office, particularly in Word, Excel, and PowerPoint, with the ability to create, update, and format documents with ease.
  • Organizational Savvy: A master of multitasking, with a structured, detail-oriented approach to managing tasks and schedules.
  • Interpersonal Skills: Confident and diplomatic in interactions, with the ability to navigate and manage relationships with stakeholders at all levels.
  • Flexibility & Adaptability: Willingness to travel (approximately once per quarter for 3-4 days) and adjust to varying schedules and priorities as needed.
  • Problem-Solving: Resourceful, with a knack for finding solutions and overcoming obstacles independently.
