Clerical Support Specialist for Medical Administration

This position is open to current internal Local National Employees throughout Germany, as well as external Local National applicants residing in Germany.
Key ResponsibilitiesThe successful candidate will be responsible for a variety of administrative tasks within a healthcare environment, including but not limited to:
• Managing and processing information using automated systems relevant to the assigned area.
• Completing necessary forms for patient services, including laboratory requests and other medical needs.
• Organizing and overseeing patient appointment schedules for the clinic.
• Acting as the first point of contact for patients and visitors, both in person and via phone.
• Verifying patient eligibility for care and coordinating with Patient Administration as needed.
• Providing comprehensive information about clinic policies, procedures, and services to patients and their families.
• Maintaining accurate medical records, ensuring compliance with regulations regarding patient and provider identification.
• Conducting quality assurance checks on patient records to ensure completeness and accuracy.
• Performing additional duties as assigned.
To qualify for this position, candidates must meet the following criteria:

For Medical Support Assistants:
E&T Level I: A minimum of 2 years of relevant experience.
Current employees not meeting E&T Level I must have 2 years of experience in clerical roles involving office work, computer usage, bookkeeping, or similar tasks.
E&T Level II: At least 1 year of relevant experience.
E&T Levels III A and IV A: Completion of an apprenticeship as a Doctor's Assistant or in a related administrative field is required.
General Experience: Experience in clerical roles, including office tasks, computer operations, and customer service.
Proficiency in English and German at C1 level is mandatory. Candidates may assess their language skills through various online platforms that offer CEFR-aligned tests.
Knowledge of basic medical terminology is essential, while familiarity with office automation tools is required.
This is a permanent full-time position with a standard workweek of 38.5 hours.

• Residency in Germany for at least twelve months is generally required, with exceptions for non-US citizen family members and German citizens.
• Candidates must present a police good conduct certificate upon appointment.
• Valid identification documents are required for access to computer systems.
• A background check will be conducted within three days of appointment to ensure suitability for employment.
