Administrative Assistant in Healthcare Management Location: Germany Job Overview

This position is open to current internal Local National Employees across Germany and external Local National applicants residing in Germany.

Key Responsibilities

The selected candidate will undertake a variety of administrative and clerical tasks within a healthcare environment, including but not limited to:

• Inputting, managing, and retrieving data from electronic systems relevant to the assigned department.

• Processing request forms for patient services, including laboratory tests and other medical inquiries.

• Organizing and overseeing patient appointment schedules for the clinic, ensuring efficient management of time slots.

• Acting as the first point of contact for patients and visitors, both in person and via phone.

• Verifying patient eligibility for services and liaising with Patient Administration for confirmation.

• Providing comprehensive information about clinic policies, procedures, and services to patients and their families.

• Maintaining accurate and organized medical records, both electronic and paper, in compliance with regulations.

• Conducting quality assurance checks on patient records to ensure completeness and accuracy.

• Performing additional duties as assigned by management.

Qualifications

To qualify for this role, candidates must meet the following criteria:

• E&T Level I: Minimum of 2 years of relevant experience in clerical work, including office tasks and computer usage.

• E&T Level II: At least 1 year of relevant experience.

• E&T Level III A and IV A: Completion of an apprenticeship in a medical or administrative field is required.

• Proficiency in English and German at C1 level is mandatory. Candidates may verify their language proficiency through recognized online assessments.

Employment Conditions

This is a permanent full-time position with a standard workweek of 38.5 hours.

Important considerations for external applicants include:

• Residency in Germany for a minimum of twelve months is generally required.

• Candidates must present a police good conduct certificate prior to appointment.

• Valid identification documents are necessary for access to computer systems upon appointment.

• A background check will be conducted to ensure suitability for employment with U.S. Forces in Germany.
