Executive Assistant to General Manager

We are currently in search of a highly organized and proactive Executive Assistant to the General Manager to support our Fulfillment Centers. This role involves close collaboration with the General Manager to ensure seamless operations.
Role Overview:
The Operations teams within our Fulfillment Centers are crucial in managing our extensive inventory, ensuring that products move efficiently from inbound to outbound processes. Our commitment is to deliver customer satisfaction by optimizing workflows and enhancing service quality.
In this pivotal position, you will engage in a variety of daily interactions and take charge of organizing employee engagement initiatives throughout the site, while also managing the corresponding budget.
Key Responsibilities:
- Coordinate and execute onsite employee engagement activities, including competitions and celebrations, while overseeing budgets and timelines.
- Develop event plans tailored to site requirements, create promotional materials, and collaborate with stakeholders to implement projects.
- Oversee communication channels within the Fulfillment Center, including newsletters and message boards, to ensure effective information dissemination.
- Act as the site Charity Champion, managing the charity budget and collaborating with central teams on local initiatives.
- Facilitate recognition programs for associates, encouraging participation from leadership and staff.
- Manage the travel and administrative needs of the leadership team, including diary management and meeting follow-ups.
- Work closely with support staff to ensure adequate resources for projects and initiatives.
- Welcome and coordinate visitors on behalf of the General Manager and leadership team.
Qualifications:
- Proven experience in similar roles with demonstrated responsibilities.
- Strong organizational skills with the ability to prioritize multiple tasks effectively.
- Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel).
- Excellent attention to detail and problem-solving capabilities.
- Fluency in English and German.
Preferred Qualifications:
- Experience in a fast-paced, process-oriented environment.
- Degree-level education or equivalent experience.
