Senior Administrative Coordinator, Executive Office
This position entails a full-time commitment to providing on-site support for senior executives within the Executive Office at Goldman Sachs. The ideal candidate will be a proactive, organized, and motivated individual capable of managing multiple tasks, prioritizing effectively, and demonstrating exceptional time management skills.
KEY RESPONSIBILITIES
  • Deliver comprehensive administrative assistance in a dynamic team setting for a senior executive group.
  • Manage complex scheduling and diary coordination, including room reservations, documentation, and media services for audio-visual and video conferencing.
  • Facilitate intricate internal and external meetings and conference calls at the senior level.
  • Engage with high-ranking business leaders in a professional and effective manner.
  • Address and follow up on client inquiries and requests.
  • Prepare and disseminate divisional communications, memos, meeting notes, reports, presentations, and other documents as required.
  • Maintain a thorough understanding of company policies and independently manage certain issues.
  • Coordinate both domestic and international travel arrangements and process expense reports using designated systems.
  • Assist with visa applications and related requirements.
  • Record weekly time for executives in the internal system.
  • Document executives' whereabouts and vacation details using appropriate tools.
  • Support visiting executives by managing their schedules, arranging office spaces, transportation, and access to facilities.
  • Organize town halls, team events, and social gatherings, including room bookings, registration details, and catering arrangements.
  • Oversee space management, including planning and executing departmental relocations and occupancy updates.
  • Collaborate closely with divisional Chiefs of Staff, Leadership Teams, global assistants, and office-wide networks.
  • Contribute to internal communication initiatives for the office, including newsletters and distribution list management.
QUALIFICATIONS AND SKILLS
  • A minimum of 3 years of experience in administrative, personal, or executive support, preferably within the international financial services or consultancy sectors.
  • Proficient in English with advanced communication skills, both verbal and written.
  • Extensive experience with MS Office applications, including Outlook, Word, PowerPoint, and Excel.
  • Detail-oriented professional with strong problem-solving abilities.
  • Capable of handling sensitive and confidential information with discretion.
  • Demonstrated reliability and urgency in achieving results.
  • Exhibits a high degree of integrity and confidentiality.
  • Strong organizational capabilities and the ability to thrive under pressure, adapting to unexpected challenges while prioritizing tasks in a deadline-driven environment.
