**Reporting to: Head of Distribution & Marketing and Managing Director**

ESSENTIAL FUNCTIONS:
Reef Distribution is a leading distributor of 360° films and giant screen films produced for digital planetariums and science centers worldwide. We are searching for a detail
- and relationship-oriented Administrative Assistant to work in our Munich office to support the sales team by managing our office procedures, tracking financial data, reporting of royalty revenue, maintaining customer data and maintaining our CRM technology to improve sales and provide outstanding customer service to buyers interested in licensing our content.

EXAMPLES OF WORK:

- Finalize and file of license agreements for sales team; create box office reports for tracking royalties and attendance.
- Manage financial processes including following up with customers for outstanding royalty payments in a timely manner.
- Provide Marketing Tools to customers upon signatures of License Agreements.
- Organize and maintain Marketing Tools for customer use.
- Manage content delivery with producers, vendors, and customers to support sales team.
- Create Quarterly Producer Reports according to Producer Agreements and ensure data accuracy with Bookkeeper and Sales Team.
- Organize marketing materials and event logistics for conferences and film festivals. Book hotels and maintain reports for expenses with the bookkeeper.
- Perform related work and other duties as assigned by Managing Director and Head of Distribution & Marketing.

**REQUIREMENTS**:

- Associate degree required; bachelor's degree preferred.
- Minimum of two years of experience as an administrative assistant or office manager.
- Passionate about helping others through a personal desire for excellence that is a result of curiosity and valuing life-long learning.
- Excellent written, verbal, and interpersonal communication skills in English and German.
- Detailed-oriented and self-motivated
- Ability to work in the office until 7pm two evenings per week.
- Proficiency in Microsoft Office and Excel, MailChimp, and CRM platforms (e.g. Zoho) and other technologies as needed.

**Salary & Benefits**
- EUR 20,00 Per Hour - 24 Hours Per Week
- German benefits for part-time employees.

**Preferred Schedule**:
Monday - 9am to 5pm

Tuesday - 11am to 7pm*

Wednesday - Off

Thursday - 11am to 7pm*

Friday - Office is closed

*Two days per week are required for video TEAMs meetings starting at 6pm (Munich) with our USA based Head of Distribution & Marketing.
