Receptionist / Team Assistant, Global Investment

We are looking for a talented Receptionist/ Team Assistant to support our Global Investment Banking team Join us and find out why we have been a Fortune Best Place to Work for 20 consecutive years
Working alongside a team of EAs, you will provide seamless support to the wider admin team and bankers, as well as maintaining professional reception and hospitality service to external clients.

**Key responsibilities include**:
**Reception**:
- Promote excellent client relationships through telephone contact and in person
- Welcoming and hosting clients on-site
- Manage and monitor meeting room bookings and amendments as required, liaise with ground floor reception regarding visitors
- Manage reception mailbox and calendars
- Arrange catering for client meetings and staff entertainment in line with company policies and budget approvals
- Ensure reception area and meeting rooms are kept tidy and presentable
- Setting up VC calls in meeting rooms in a timely manner, making sure equipment is working properly, liaising with IT if and when needed
- Supporting visiting colleagues from other Baird offices, incl. liaising with building reception and security, organising access cards, office/desk allocation etc.
- Provide health & safety information to visitors where appropriate (e.g. evacuation process/fire escape)
**Team support**:
- Processing and submitting expenses for team members in a timely manner using Concur
- Salesforce - assisting with updating projects, adding companies, opportunities and contacts
- Diary management for junior bankers, incl scheduling meetings and calls, internal and external
- Arranging German, European and overseas travel, incl flights, trains, hotels and rental cars as well as other transfers and logistics
- Assisting with events such as Conferences, Offsites, Sector Dinners and Closing Dinners
**Skills and qualifications**:
- Ability to enter data accurately and in a timely manner
- Ability to be resourceful and proactive with a willingness to learn
- Strong client service ethos with excellent team working skills
- Excellent organisation and administrative skills
- Excellent attention to detail, written and oral communication skills
- Fluency in both German and English
**Professional experience**
- Previous experience as a Receptionist, Front of House, Front of Office or similar role
- Administrative experience
- Experience in a fast moving/deadline driven environment.
This position requires the job holder to comply with the Group's compliance policies and procedures.
