JobDescription
MainDuties:
Administration
- Providesadministrative support to General Manager. Ensures theimplementation of hotel policies, standards, and procedures as theyapply to the administrative functions.
- Types,files and upkeeps all private and confidential matters related tothe department.
- Sets up a systematic andefficient filing system, both for hardcopies as well as allelectronic data, that enables quick retrieval; ensures all filesare kept up-to-date at all times.
- Prepares therelevant materials for all meetings attended by General Manager,including Daily Operations Meeting, Executive Committee Meetings,Departmental Meetings and any othermeetings.
- Prepares and circulates the minutesof the meetings.
- Answers telephone callscourteously and gives information to callers. Routes calls toappropriate officials and places outgoingcalls.
- Makes copies of correspondence or otherprinted matters.
- Prepares outgoingmail.
- Types, takes dictation and minutes,drafts letters, files and traces and composescorrespondence.
- Monitors and maintains theproper appearance of the office area.
- Handlesoutgoing mails by courier.
- Makes and confirmsappointments for the GeneralManager.
CustomerService
- Providesassistance & support to internal customers in other departmentsas appropriate.
- Handles all guest and internalcustomer complaints and inquiries in a courteous and efficientmanner, following through to make sure problems are resolvedsatisfactorily.
- Maintains positive guest andcolleague interactions with good workingrelationships.
- Greets visitors, ascertainsnature of business, and directs visitorsappropriately.
OtherDuties
- Attends andcontributes to all training sessions and meetings asrequired.
- Exercises responsible behavior at alltimes and positively represents the hotelteam.
- Maintains strong, professionalrelationships with the relevant representatives from competitorhotels, business partners and otherorganizations.
- Ensures high standards ofpersonal presentation and grooming.
- Carries outany other reasonable duties and responsibilities asassigned.

Qualifications
•At least a Bachelor’s Degree in any field.
• At least 5years’ experience in executive secretarial work with multinationalcompanies, preferably in the hotel industry.
• Effectivetelephone communication skills, and above average proficiency in MSOffice applications such as Word, PowerPoint, andExcel.
• Above average fluency in English (written andspoken).
