The Course and Conference Office (CCO) is responsible for the logistical and operational fulfilment of EMBL’s mission to provide exemplary training for the life sciences, making the laboratory the leading learning and meeting place for biologists in Europe. Join the team that delivers a world-class programme of international conferences, courses and events, primarily at the striking Advanced Training Centre (ATC). The ATC is EMBL’s purpose-built venue, centred on a large conference auditorium, wet laboratories and computer-based training rooms and complete with exhibition and social spaces designed to foster networking and collaboration. Events Assistants support the team as a whole to deliver our busy programme of events. The post is based in Heidelberg with the team working flexibly between home office and our offices in the Advanced Training Centre. The post involves occasional evening and weekend work at events
This is a full time role however job shares and/or combining of roles within the CCO to fit the availability of suitable candidates will be considered. For example, see our Sponsorship Assistant role which could be combined with a 50% share of the Events Assistant if appropriate.
The interviews for this role will take place on September 18th with a planned start date shortly thereafter.
Your Role
- Support the CCO Events Coordinator by carrying out tasks essential to the delivery of events (eg service orders, production of conference materials, venue preparation, speaker contact sheets, invitations, galleries, website updates)
- Supporting with the creation, population and upkeep of event websites via content management systems
- Carrying out assigned financial and organisational processes related to the conferences and courses
- Supporting with the on-site coordination of events and support during the events themselves (eg. working at the event reception desk)
- Work closely with the CCO Administrator to provide additional administrative support for the CCO team (eg: handling enquiries by phone and mail, inventory, assistance with social events or meetings organisation, liaison with internal services)
- When required, working with customer relationship management databases and other events software on assigned tasks related to event registration, reviews, abstracts and other processes
Your academic studies and/or your prior experiences will have prepared you to take on this role supporting the sponsorship element of EMBL's busy programme. The CCO needs enthusiastic team players with impressive abilities to self-organise and prioritise so that they can support multiple projects and tasks simultaneously. Strong administrative, coordination and customer service skills underpin your ability to communicate with and gain the confidence of our scientists, industry partner companies and fellow service providers at EMBL.
- Ideally applicants should have a minimum of 12 months office experience or internship/student job
- Working fluency in English and basic German language proficiency essential
- Proficiency in Microsoft Office and Google Suite software packages
- Excellent time-management skills with the ability to multi-task and perform under pressure
- Adept communicator and relationship builder
- Excellent attention to detail

- Relevant professional qualifications or degree level education (subjects related to events industry, or to business administration especially valued)
