What you´ll build

Purpose & Objectives:

The Business AI Product and Partner Management team is actively engaged in several strategic initiatives with external and internal AI partners. To support this growth and ensure delivery excellence, we are looking for a strong Executive Assistance & PMO resource who can bring structure, coordination, time/calendar management and project governance across a portfolio of AI partnership projects and keeping the office of the partner product management head going. With the increasing pace of AI development and adoption, this role will be instrumental in helping the Business AI Product and Partner Management team to keep calendars in synch, executive asks on track, scale operations, manage complexity, and deliver value through partnerships. The right assistance & PMO support will enable the head of partner product management and his team to stay focused on strategic priorities while ensuring operational excellence.

Key responsibilities:

• Managing calendars / scheduling and coordinating internal and external meetings for an executive
• Monitoring actions, workload and manage priority independently
• Coordination of travel arrangement, including organizational preparation and follow up including booking of travel and raising expenses
• Own operational activities such as vacation requests, purchase orders, internal orders, distribution lists, budget management incl travel, events, etc. and smooth communication to the team
• Organize partner management meetings and team offsite events
• Cross-Functional Coordination: Collaborate closely, be accessible to the team and all internal stakeholders across different organizations within SAP Business AI and across SAP.
• Support the entire team with knowledge sharing, administrative guidance, community building and best practice sharing
• Program & Project Management Support: Help drive the execution of multiple AI-related projects, ensuring timelines, milestones, and deliverables are tracked and met
• Governance & Reporting: Establish and maintain project documentation, cadence (e.g., weekly status meetings, steering committee reviews), and consolidated progress reports
• Partnership Management: Support the Business AI Product & Partner Management team in managing relationships with AI partners, coordinating onboarding, compliance, and operational readiness
• Best Practice Implementation: Support the implementation of PMO best practices, templates, and scalable processes across AI initiatives

What you bring

• Graduate (f/m/d) of a university or a university of applied science or relevant number of years in a team assistant function
• Business fluent in English and German
• First Experience in managing the schedule and calendar of a director/senior director.
• Experience in PMO or Project Management roles desired, ideally in technology, or AI-related projects or first experience in a supportive function or as team assistant
• Good familiarity with enterprise project governance, stakeholder management, and reporting standards
• Experience in Travel Management in SAP Concur desired
• Strong experience in Microsoft Office 365, especially Outlook and SharePoint to work as a delegate
