What to Expect
As part of the HR Operations Shared Services organization, the HR Operations Specialist role will deliver first line support and day-to-day direction to the complete HR team in EMEA or other stakeholders. The HR Operations Specialist is the first point of contact for our employees and they will respond to employee inquiries, by providing support, advice, problem solving, identifying solutions and escalates as needed. This position requires good judgment and extreme initiative and is accountable for the quality and productivity of requests. The HR Operations team acts as a bridge between employees and other departments e.g. Payroll, Benefits, Finance, HR Partners, etc. Work is performed under the general supervision of the HR Operations Team Lead and you will be responsible from beginning to end for a specific HR workstream: - Inflow (contracts & onboarding) - Throughflow (promotion and lateral career moves) - Outflow (Offboarding) - Benefit and Out of Office Admin - Payroll Administration (input)
What You’ll Do
- First point of contact for our employees for all their inquiries and concerns; providing guidance, advice, problem-solving and coaching throughout their employee experience at Tesla. Troubleshoot employee issues, resulting in recommendations and solution;
- Manage and process HR transactions (including onboarding, transfers, reorganizations, new hires, terminations, job and personal data changes, organizational changes, employee verifications, etc.);
- Explaining human resources policies, procedures, laws, and standards to new and existing employees;
- Effective administration of employee documentation throughout their Tesla journey including, but not limited to; contract management, leave management, job changes;
- Ensure operational processes, procedures and policies are properly documented, kept up to date and uploaded to the applicable systems;
- Responsible for the integrity of employee master data entered in our HR Management Systems and Maintain personnel files, while ensuring we are compliant with GDPR;
- Identify opportunities for process and system improvement and work with our Operational Excellence Team on these automation initiatives to minimize non-value add tasks and to scale up for rapid growth. Provide support on HR systems related projects by preliminary requirements gathering, testing system enhancements, developing user procedures;
- Liaise with stakeholders such as Payroll, HR, Recruitment, Compensation, Benefits, HRIS, Finance, Legal and IT teams and ensure the daily work output supports the work of these teams to streamline processes and improve efficiency;
- Owning the continuous improvement of the employee experience at Tesla;
- Close collaboration with HR Employee Advisor and HR Business Partner to ensure pro-active communication/education and ensure that we support in the transactional and operational tasks/issues and the overall HR objectives & initiatives;
- Ensures local laws and regulations, are followed and that we are delivering on our internal controls to ensure we are SOX compliant. You identify, responds and/or escalates risks as appropriate. Work with Team leads, internal or external auditors on quarterly and annual SOX process;
- As assigned perform other HR related duties, which could be in other flows and support on team projects.
What You’ll Bring
- Minimum of 1-2 years HR Administration/HR Operations; customer facing environment. HR Shared Services experience is a plus.
- BA/BS degree or equivalent experience
- Working knowledge of HRIS and E-Ticketing tool. Absence Management systems a plus
- Basic knowledge of local laws, regulations, employment law guideline and policies
- Must be extremely organized and detail oriented with the ability to handle multiple tasks or shift priorities as needed in a fast-changing environment
- Proven skill at handling stressful issues and interfacing with all levels of the business in a courteous and professional manner
- Proficiency with Microsoft Office Suite
- Excellent English and French language skills; both written and spoken
