To strengthen our team based in Europe, we are seeking an Executive Assistant (f/m/x) based in Munich. In this role, you will support members from our Senior Leadership Team who are mostly based in either Zug (Switzerland) or Munich. Our site in Munich is not only an office site but also home to our S+N Academy. The Smith+Nephew Academy is another addition to our global network of 9 Academies, across 3 continents, providing healthcare professionals with the opportunity to learn new clinical techniques and ensure the safe and effective use of our technologies. As an Executive Assistant (f/m/x), you will be responsible for assisting the International & Global management team with internal on-site meetings in Munich. Furthermore, you will support the Senior Leadership Team with various tasks around travel, invoices, meeting planning, and general administration. This may include supporting projects related to Marketing or congresses. In this role, you will work closely with various internal departments (national and international), building relationships with key stakeholders and local management.
Key Responsibilities:
- Coordinate and manage executive calendars filtered by priority
- Act as the main point of contact between the executive and other departments
- Provide overall administration support to various Senior Leadership Team members with all business-relevant matters
- Draft and edit documents and prepare presentations and handle Excel workbooks
- Handle various confidential documentation
- Support the executives in all their marketing activities during the year, planning and coordinating
- Organize and prepare international business trips, including flights, accommodation, visa handling, ground transportation, and detailed itineraries in compliance with company policy
- Deal with invoices, travel & expense reports approval in compliance with company policies
- Organize video conferences, meetings, workshops, and events for executive, marketing, and commercial teams in the S+N Munich facility
- Organize travel, accommodation, event logistics for the entire event
- Participate in projects by managing the entire timeline and monitoring progress
Requirements:
- A university degree (e.g., business administration, marketing, event management) or vocational training (e.g., catering/event/tourism)
- Ideal +3 years of experience as an Executive Assistant supporting executives in an international environment and/or experience in the organization and execution of meetings/events
- Beneficial: Experience in the medical devices industry
- Practical, business-oriented solution approach with the ability to build strong relationships with key stakeholders
- High integrity and professionalism, excellent organizational skills, and strong ability to prioritize (managing workload, meeting deadlines)
- Ability to anticipate the needs of executives and the business
- Taking ownership of given responsibilities and ability to work independently
- Problem resolution and strong communication skills
- Service-minded, team player, and collaborative working style
- Relationship building and stakeholder engagement skills
- Proficient with current Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Experience with payment and procurement systems and processes (preferably experience with SAP and Ariba)
- Willingness to travel approximately 10%
- Excellent communication skills in both German and English (verbal and written)
