Cell and Gene Logistics Coordinator

Main Purpose:
The Cell and Gene Logistics Coordinator is responsible for providing exceptional customer service and operational support for the movement of cell and gene shipments through our network. This role will be managed out of the control center in Raleigh-Durham and will include booking shipments, working with global branches to facilitate these movements, tracking through our GPS technology, and proactively acting to avoid delays and risks.
Main Duties and Responsibilities:
- Reporting to the Control Tower Manager, the Cell and Gene Logistics Coordinator will be responsible for successfully supporting the daily operations as it relates to cell and gene shipments. This will include the daily coordination with various branches and close monitoring of Maestro.
- Developing excellent working relationships with internal departments, including Project Management, Operations, Customer Relationship Managers, and the Customer Services Team, as well as Overseas Marken offices/agents.
- Booking shipments in Maestro against client specifications and pre-defined lane mapping. Pre-alerting Branches and LSPs to the collection and delivery instructions. Reviewing customer bookings in Maestro.
- Updating Maestro milestones and chasing any milestones not added as agreed.
- Reviewing Client Operating Procedures and managing all paperwork or checklists associated with cell and gene shipments.
- Ensuring documentation is accurate, complete, and attached to Maestro as defined in COPs and SOPs.
- Monitoring GPS tracking on all CGT shipments as well as daily dashboards.
- Monitoring weather, civil unrest, strikes, or anything that would perhaps delay a shipment.
- Providing clear and accurate information regarding the handling of the shipments, especially when shipments are delayed.
- Post-flight and trace investigations to improve service.
- Providing support and assistance when dealing with special requirements and informing the Customer Services Group/Project Management team accordingly.
- Producing daily reports, which detail any transport issues within the Marken network.
- Monitoring LSPs carrying out a job. This may include calling ahead, sending dispatch instructions, training, and multiple follow-ups to ensure 100% accuracy.
- Ensuring all PODs are recorded within correct agreed time frames.
- Monitoring and analyzing repetitive operational issues to develop solutions and lessons learned.
Requirements:
- Associate's degree, 4-year degree, or applicable work experience as a substitute for education.
- General logistics import/export knowledge, preferably in the Pharma/Clinical Trials industry.
- Experience in the courier or air freight industry.
- Strong knowledge of PC and Microsoft Programs (Excel, Word, Outlook).
- Ability, thorough knowledge, to adapt/deal with inquiries & day-to-day issues.
- Proven track record of excellent customer service; experience dealing with people and speaking to clients.
- Eye for detail; organized/skilled in tracking; a problem solver.
- Ability to multi-task and think on one's feet.
- Possess excellent communication skills.
- Flexibility in working hours/shift work.
