Position Overview

We are seeking a skilled Facilities Management Site Coordinator to oversee and manage daily operations in our workplace services division. This role is essential for ensuring the smooth functioning of facilities management tasks and leading the organization of events for both internal and external stakeholders.

Key Responsibilities:

  • Direct all on-site facilities management initiatives, including but not limited to catering services, event coordination, space utilization, meeting room management, office supplies, and employee amenities.
  • Proactively identify and address the needs of our clients while developing innovative and scalable solutions.
  • Champion employee experience by fostering a community-oriented environment that promotes engagement and success.
  • Oversee vendor management for various services, including HVAC, electrical, security, cleaning, and kitchen operations.
  • Utilize our operational platform to manage requests, assign tasks, and monitor the completion of service orders.
  • Manage a segment of the operational and capital expenditure budget related to local responsibilities, providing regular updates to management.
  • Solicit and manage scopes of work, create purchase orders, and ensure quality service delivery from third-party vendors.
  • Act as a liaison for maintenance, troubleshooting, and repair needs.
  • Coordinate local relocations and onboarding processes for new employees.
  • Maintain schedules for preventative maintenance within the facilities management framework.
  • Collaborate with various internal teams to enhance communication, strategy, and problem-solving efforts.
  • Build strong relationships with local leadership and team members to align on the desired workplace experience.
  • Manage the communications and events calendar effectively.
  • Perform additional administrative tasks as required.

Qualifications:

  • 3-5+ years of experience in facilities management, operations, customer service, or related fields.
  • Experience in event coordination is preferred.
  • Fluency in English and German is required.
  • Proficient in Microsoft Office Suite, including Outlook and Excel.
  • Ability to work flexible hours, including evenings and weekends as necessary.
  • Excellent verbal and written communication skills.
  • Strong organizational abilities and a collaborative approach.
  • Capability to work independently and as part of a team.
  • Problem-solving skills with the ability to escalate issues appropriately.
  • Ability to manage multiple priorities under tight deadlines.

Preferred Qualifications:

  • Bachelor's degree or equivalent experience.
  • Financial and analytical skills.
  • Commitment to staying updated on industry best practices.
  • Proficiency in various software tools related to financial and operational management.
  • Strong interpersonal skills to build positive relationships across the organization.
