Role Overview

We are seeking a skilled Facilities Management Site Coordinator to oversee and manage daily operational responsibilities related to Facilities Management (both Hard and Soft services) and lead the planning and execution of events for both internal and external stakeholders. This position necessitates a physical presence on-site.

As the Facilities Management Site Coordinator, you will be responsible for the management of Facilities Operations and the overall workplace experience, which encompasses various employee services such as food and beverage offerings, office supplies, HVAC systems, event coordination, stakeholder engagement, business continuity, and other related functions.

Key Responsibilities:

  • Supervise all on-site Facilities Management programs, including but not limited to food services, event coordination, space management, meeting room services, office supplies, amenities, wellness initiatives, safety protocols, and landlord relations.
  • Innovate and proactively address customer needs while developing scalable and forward-thinking solutions.
  • Champion employee experience and foster employee-centric communities, enhancing engagement and success.
  • Manage vendor relationships for Facilities Management, including HVAC, electrical, security, janitorial, and kitchen services.
  • Utilize our platform effectively to manage requests, assign work orders, and track task completion.
  • Oversee a segment of the operational and capital expenditure budget related to local responsibilities, including quarterly budget management and regular updates to the Facilities Management Manager.
  • Develop scopes of work, create and monitor purchase orders, track vendor spending, and ensure quality service delivery from third-party vendors.
  • Act as a liaison for maintenance, troubleshooting, and repair needs.
  • Manage local relocations and the onboarding process for new hires.
  • Maintain preventative maintenance schedules within Facilities Management.
  • Collaborate with internal teams such as Global Talent, IT, Communications, and Branding to drive strategy and problem-solving.
  • Partner with Real Estate, Planning & Design, Safety & Security, and Project Management teams to ensure operational excellence.
  • Build strong relationships with local leaders and Facilities Management team members to align on the desired employee experience and represent the ServiceNow brand and culture.
  • Manage the Communications and Event Calendar.
  • Perform additional administrative duties as required.

Qualifications:

To excel in this role, you should possess:

  • 3-5+ years of experience in Facilities Management and Operations, customer service, safety and security, or related fields.
  • Prior experience in event coordination.
  • Proficiency in English and German.
  • Strong skills in MS Office, including Outlook and Excel.
  • Flexibility to work varied hours, including potential overtime, early mornings, evenings, and weekends as necessary.
  • Excellent verbal and written communication skills.
  • Strong organizational abilities and a collaborative approach.
  • Capability to work independently and as part of a team.
  • Problem-solving skills with the ability to escalate issues appropriately.
  • Ability to manage time effectively and maintain professionalism under pressure.
