We are currently seeking a Facilities Support Specialist to enhance our operations.
The Facilities Support Specialist will collaborate with a site-based team and serve as a vital support resource across various facilities functions, ensuring the seamless execution of facilities management services on-site.
Your Responsibilities:
- Provide assistance across multiple facilities management functions, including:
- Supporting food and beverage, snacking, and cleaning services on-site.
- Assisting with event setups, rearranging furniture, and providing support to front-of-house and cleaning teams as necessary.
- Facilitating furniture arrangements, space administration, and stationery procurement.
- Assisting the Facilities Coordinator in task management, including task initiation, closure, contractor follow-ups, and ticket/customer updates, all within established service level agreements.
- Managing shipping tasks such as sorting and distributing mail and couriers, delivering stationery, and packing items as per client requirements.
- Acting as the primary contact for welcoming external contractors, guests, and temporary staff.
- Assisting in the management of on-site amenities, including setup, booking management, and timely response to inquiries.
- Collaborating with the Facilities Coordinator and clients when facilities support is requested, such as gathering marketing materials, packing shipments, and assisting with meeting setups.
- Working collaboratively to address challenges and resolve unique situations with professionalism and a service-oriented mindset to ensure optimal customer satisfaction.
- Conducting daily office maintenance checks, including task initiation for identified issues and escalation as needed.
Your Qualifications:
- Experience in a hands-on role within a dynamic facilities and events environment.
- Exceptional customer service skills with the ability to communicate effectively with clients at all levels, both verbally and in writing.
- Professional demeanor and the ability to represent the team positively.
- Strong multitasking abilities, initiative, and the capacity to work independently.
- A collaborative team player who is committed to supporting colleagues.
- Proficiency in MS Office, including PowerPoint.
- Flexibility in working hours and days to meet client needs.
- A minimum of one year of experience in a similar customer-facing facilities role.
- Demonstrated flexibility regarding the types of tasks performed and availability.
- Proven customer service experience.
- Health and Safety or Facilities qualifications are desirable.
- Experience in collaborating with contractors.
