Job Overview

The Head of School's office at Frankfurt International School is seeking a highly skilled and organized Executive Assistant to the Head of School and the Board of Trustees. This role is essential in ensuring the smooth operation of the office and supporting the Board of Trustees.

The Executive Assistant will work in a dynamic environment that demands a combination of administrative expertise and sophisticated interpersonal skills. The ideal candidate will demonstrate exceptional organizational abilities, adaptability, and a professional demeanor while managing a variety of responsibilities.

Key Responsibilities:

  • Manage office operations and implement practices necessary for the efficient functioning of the Head of School's office.
  • Collaborate closely with the other Administrative Assistant to the Head of School to ensure seamless support.
  • Plan and execute significant events for the Board, Head of School, or school, ensuring meticulous attention to detail.
  • Serve as the administrative support for the Board of Trustees, overseeing all logistical aspects of Board meetings, including preparing agendas and accurate minutes.
  • Assist Board members and Foundation Executive Board members as needed, particularly in collaboration with the Chair of the Board of Trustees.
  • Participate in the Policy Committee, managing logistics for meetings and documentation.
  • Maintain and update the Board Policy Manual and Administrative Regulations Manual.
  • Organize the annual Board of Trustees election and oversee the election of faculty/staff Board members.
  • Undertake additional projects and responsibilities as assigned by the Head of School.

Required Qualifications:

  • A minimum of six to ten years of experience in supporting senior executives or working with a Board in an Executive Administrative capacity.
  • Proficient in computer applications, including Google Suite and Microsoft Office Suite.
  • Strong writing, editing, and proofreading skills in both English and German, with a keen attention to detail.
  • Familiarity with international school environments, particularly in educational or nonprofit sectors, is advantageous.
  • Excellent organizational and time-management skills, with the ability to prioritize multiple tasks in a fast-paced setting.
  • Resourceful problem-solving abilities to navigate unexpected challenges.
  • Proven project management skills from inception to completion.
