Position Overview

The Head of School's office at Frankfurt International School is seeking a proficient and dedicated Executive Assistant to the Head of School and the Board of Trustees. This role is pivotal within the institution, requiring a blend of administrative expertise and sophisticated interpersonal skills.

The successful candidate will demonstrate exceptional organizational abilities, adaptability, and a capacity to manage diverse responsibilities while upholding a professional and discreet demeanor. The role encompasses a variety of essential functions, including:

Key Responsibilities:

  • Overseeing office management protocols and making decisions to ensure the efficient operation of the Head of School's office.
  • Collaborating closely with the other Administrative Assistant to the Head of School, sharing similar responsibilities.
  • Planning and executing significant events for the Board, Head of School, or the institution, ensuring meticulous attention to detail.
  • Serving as the administrative support for the Board of Trustees, managing all logistical aspects of Board meetings, including preparing and distributing agendas and documentation, as well as creating accurate minutes for all meetings.
  • Assisting Board members and Foundation Executive Board members as needed, particularly working closely with the Chair of the Board of Trustees and other Executive Committee members.
  • Participating in the Policy Committee, managing the logistical processes for meetings, and ensuring accurate documentation.
  • Maintaining the Board Policy Manual and the Administrative Regulations Manual.
  • Organizing the annual Board of Trustees election and overseeing the election of the faculty/staff Board member.
  • Undertaking additional projects and responsibilities as directed by the Head of School.

Required Qualifications:

  • A minimum of six to ten years of experience in supporting senior executives, working with a Board, or in a comparable Executive Administrative role.
  • Proficient in computer applications, including Google Suite and Microsoft Office Suite.
  • Exceptional writing, editing, and proofreading skills in both English and German, with a strong attention to detail in scheduling, documentation, and communication.
  • Familiarity with an international educational environment is advantageous, particularly within nonprofit settings.
  • Excellent organizational and time-management skills, with the ability to prioritize and manage multiple tasks effectively in a dynamic environment.
  • Resourcefulness and problem-solving abilities to navigate unexpected challenges.
  • Strong project management skills from initiation to completion.
