The Frankfurt International School is seeking a proficient and dedicated Executive Assistant to the Head of School and the Board of Trustees. This role is essential in ensuring the smooth operation of the Head of School's office and supporting the Board of Trustees effectively.
The Executive Assistant will navigate a dynamic environment that demands a combination of administrative expertise and refined interpersonal skills. The ideal candidate will demonstrate exceptional organizational abilities, adaptability, and a commitment to professionalism and confidentiality.
Key Responsibilities:
- Manage office operations and implement practices that enhance the efficiency of the Head of School's office.
- Collaborate closely with the other Administrative Assistant to ensure seamless support for the Head of School.
- Plan and execute significant events for the Board and the Head of School, ensuring meticulous attention to detail.
- Serve as the administrative support for the Board of Trustees, overseeing the logistics of all Board meetings, including agenda preparation and minute-taking.
- Assist Board members and Foundation Executive Board members as needed, particularly in coordination with the Chair of the Board of Trustees.
- Participate in the Policy Committee, managing meeting logistics and documentation.
- Maintain and update the Board Policy Manual and Administrative Regulations Manual.
- Organize the annual Board of Trustees election and oversee the election process for faculty/staff Board members.
- Undertake additional projects and responsibilities as assigned by the Head of School.
Required Qualifications:
- A minimum of six to ten years of experience in supporting senior executives or working with a Board in an Executive Administrative capacity.
- Proficient in computer applications, including Google Suite and Microsoft Office Suite.
- Strong writing, editing, and proofreading skills in both English and German, with a meticulous eye for detail.
- Familiarity with international educational environments, particularly in nonprofit settings, is advantageous.
- Excellent organizational and time-management skills, with the ability to prioritize multiple tasks in a fast-paced setting.
- Resourceful problem-solving abilities to address unexpected challenges effectively.
- Demonstrated project management skills from inception to completion.
