In this role, you will oversee daily administrative operations, coordinate company activities, plan events, arrange travel and accommodations, and supervise purchasing and inventory management. To thrive in this position, you should possess strong interpersonal skills and be approachable. You are organized, detail-oriented, and capable of developing new strategies while adapting to changing work conditions, fostering a collaborative and positive environment in your professional pursuits.
Your daily responsibilities will include:

Assisting the Director with vendor management, procurement, transaction coordination, payments, office facilities oversight, documentation, and clerical tasks, including guest reception. Organizing and managing company events, employee engagement initiatives, and meetings, while coordinating onboarding, desk allocation, access control, orientation, and employee exit processes. Supporting recruitment, transfers, work permits, payroll, insurance administration, proposal and tender preparation, and updating the employee manual as necessary. Maintaining office facilities, cleanliness, supplies, and managing IT requisitions, purchases, and inventory for staff and office. Handling claims for childcare leave, national services, and other expenses, while maintaining employee personnel records and updating internal databases for all hires and office staff. Coordinating and supporting senior staff travel, including visa applications, flight arrangements, and accommodation, ensuring a conducive work environment.

Additionally, you will possess:

A bachelor's or master's degree in any field with over 5 years of experience. A solid understanding of local employment laws and regulations. Excellent verbal communication skills in both German and English, along with strong customer service abilities. Exceptional time-management and multitasking skills. Sensitivity, understanding, and adaptability to change. The ability to maintain confidentiality regarding company information. The capability to work independently, effectively planning, managing, and completing tasks on time.
