Unified Team Approach

The selected candidate will represent the GBS Workplace Services on a local level and oversee all subcontractors involved in the Integrated Facilities Management (IFM) services.

Core Responsibilities

  • Foster strong working relationships with all stakeholders involved.
  • Maintain a safe and healthy work environment while ensuring adherence to company and client policies.
  • Uphold a professional image of JLL to clients and visitors, consistently delivering exceptional customer service.

Stakeholder Engagement

  • Regularly communicate with key stakeholders, including HR representatives and on-site client personnel, to review service delivery and planning.
  • Serve as the primary contact for Facilities Soft Services at the client’s location.
  • Actively engage with end users to meet and exceed client expectations.

Asset Oversight

  • Assist in preparing for asset audits.
  • Manage tagging of new assets and FADO preparation.

Vendor and Financial Management

  • Ensure effective vendor management, delivering services on schedule and within budget while adhering to safety guidelines.
  • Comply with client procurement guidelines and JLL best practices during vendor procurement processes.
  • Evaluate vendor proposals for various services.
  • Support the Facility Manager in sourcing related work.
  • Prepare invoices, purchase orders, and accruals.
  • Collaborate with Regional and Global Purchasing to implement sourcing strategies.
  • Act as the primary contact for contract partners, ensuring regular follow-up on daily operations.
  • Meet financial targets within the scope of responsibility.
  • Provide standard reporting and management reports as required.

Health, Safety, and Environmental Management

  • Support annual HS&E audits.
  • Promote a zero-tolerance policy towards unsafe practices to achieve a zero-accident rate.
  • Adhere to all HS&E requirements and policies.

Security Oversight

  • Manage daily operations and conduct regular meetings with local security providers.
  • Assist in annual audits.

Site Operations Coordination

  • Support other regional/local GBS Workplace Services initiatives.
  • Facilitate communication and support for local clients.
  • Document processes for initiatives and standard operating procedures.
  • Aid in the development and delivery of training for the operational team.
  • Collaborate with counterparts in DACH and Europe to share ideas and approaches.
  • Deliver services as outlined in the Master Agreement.
  • Report on key performance metrics and strive to meet targets.
  • Seek innovative solutions to enhance client service and reduce costs.
