Client Relations Specialist

Position Overview: The primary objective is to guarantee that all bookings and loading schedules are received within specified deadlines and that information is accurately updated. This role encompasses comprehensive oversight of the services provided, including customer interactions, coordination with agents, and confirmation of bookings and loading activities.
Type of Employment: Permanent
Key Responsibilities:
- Ensure timely receipt and updating of bookings and load lists, maintaining close communication with clients regarding their reservations.
- Maintain complete oversight of the services provided, identifying any missing clients or volumes.
- Facilitate prompt and appropriate responses from clients.
- Support Line Managers, their Assistants, and Planners as needed.
- Utilize the new system to its fullest capabilities.
- Input bookings into the system accurately.
- Generate the Booking ELL & Recap (and COPRAR for the Planning team).
- Notify agents of move counts per terminal to assist in berthing planning.
- Compile the ships' bag, ensuring all received documents are complete and accurate, and create a manifest for agents.
- Distribute final load lists to each terminal of call for their reference.
- Send booking confirmations to clients prior to vessel arrival to verify data received and accommodate any amendments or additions.
- Inform clients about terminal cut-off messages (received 6 hours before operations commence).
- Establish and oversee the entire process for third-party vessels and partnerships (including space requests, list creation, IMO cargo, and follow-up for loading confirmations).
- Claim loading confirmations for third-party vessels (for PSF purposes and for planners).
- Create and send booking and loading confirmations, and inform about cut-offs after vessel departure.
- Coordinate shunting as necessary.
- Monitor central blockings at the terminal and arrange positioning for Customs inspections.
Performance Metrics:
- Timely and accurate internal and external communication.
- Client satisfaction levels.
- Strong internal working relationships.
- Reduction in credit notes due to clerical errors.
- Accurate and timely uploading of PSF.
- Utilization of EDI files to minimize manual input and enhance process efficiency.
Qualifications & Expertise:
- Background in Shipping, Logistics, or Transport studies.
- 3-5 years of experience in a shipping agency.
- Proficiency in English.

- Able to handle confidential information responsibly.
