Administration and Finance Assistant

We are looking for an administrative and finance assistant to support our team, help to maintain and optimize our internal systems and conduct basic bookkeeping. We are looking for someone who is highly organized, has attention to detail and who is a clear communicator and problem solver.
**Responsibilities**:
- **Administrative Support**: Provide administrative support to the team, including scheduling meetings, setting up for in person and online meetings and events, managing post and arranging travel
- **Financial Record Keeping**: Assist in the management of financial records, including invoicing, processing payments, and maintaining accurate financial documentation and databases.
- **Document Preparation**: Prepare, organize, and file documents and reports. Ensure all financial and administrative documents are up-to-date and accessible.
- **Data Entry and Management**: Perform data entry tasks and use Notion, Hubspot and Google Workplace to maintain and update records.
- **Staff Support**: Assist with onboarding new staff members and provide ongoing support to existing staff regarding administrative and financial procedures
**Requirements**:
- At least 1 year of bookkeeping experience in Germany or equivalent educational background (relevant degree in Finance, Accounting or Business Administration)
- Solid understanding of basic bookkeeping and accounting payable/receivable principles
- Data entry skills along with a knack for numbers - and a keen eye for detail and accuracy
- Working proficiency in German and English (we are an English-speaking organization)
**Job Requirements**:
- **Educational Background**: Bachelor’s degree in Business Administration, Finance, Accounting, or a related field preferred.
- **Relevant Experience**: At least 2 years of experience in administrative support or financial management, preferably in a non-profit or political setting in Germany.
- **Technical Skills**: Proficiency in QuickBooks, Notion, Hubspot and Google Workplace.
- **Communication Skills**: Strong written and verbal communication skills to effectively correspond with a diverse group of contacts.
- **Organizational Abilities**: Excellent organizational and time-management skills, with the capacity to prioritize tasks and manage multiple deadlines effectively.
- **Attention to Detail**: High attention to detail and an ability to produce work that is consistently accurate.
- **Financial Acumen**: Basic understanding of financial principles and practices suitable for budget management and financial reporting.
- **Adaptability**: Flexible and adaptable in managing changing priorities and dealing with frequent interruptions.
- **Commitment to Mission**: Strong commitment to the organization's mission of fostering political leadership and an understanding of political processes.
**Benefits**
- Salary: €38,000 - 41,000 per year gross, 12 month contract with the intention to extend.
- Generous leave entitlements - 20 days + the last Friday of every month off + your birthday + the Christmas period + 1 week in July office-wide holiday (approx. 40 days leave).
