As an Executive Assistant, you will provide high-level administrative support to company executives, enabling them to operate more efficiently by focusing on strategic and high – priority tasks. Your responsibilities will include:
- Providing administrative assistance, such as writing and editing emails, preparing contracts, financial statements, drafting reports, memos and communications
- Researching and conducting data to prepare documents for review and presentations
- Independent organisation of travels and itineraries, including timely submission of travel expense reports via Concur
- Preparation and organisation of meetings e.g., circulation of required material, agendas, room and technical equipment booking, tracking action items etc.
- Event Management: Organisation and coordination of a minimum of two annual team events, kick-offs, management meetings and internal events
- Office Management as temporary activity (6-8 months):
- Coordinate with the building management and other vendors as required all services needed to operate an office
- Ensure that sufficient stock levels of stationery and office supplies are maintained and ordered when required
- Answer incoming calls on the switchboard promptly and courteously
Role requirements:
🎓 Qualifications & Skills
- A relevant high school dimploma or equivavelent in e.g. business administration, management, communications, office administration, human resources
- Experience directly supporting executives or other high-level managers – 2 + years
- Excellent English and German communication in both writing and verbal.
- Advanced computer skills, proficiency in office software, MS Office suite, mainly Outlook, Excel, Powerpoint, Visio;
- Experience working with travel booking systems and CRM software is desirable
- Excellent organisation and co-ordination skills
