Role Description:

We are seeking a proactive, highly organized, and professional
Executive Personal Assistant
to support our executive team. In this role, you will be responsible for managing the daily operations of the executive office, providing both administrative and personal support to ensure that the executives can focus on strategic priorities. You will handle a wide range of tasks, including calendar management, communication, travel coordination, and personal errands, all while maintaining confidentiality and a high level of professionalism.

As an Executive Personal Assistant, you will act as a key point of contact for both internal and external stakeholders, ensuring smooth operations and a seamless flow of information. The ideal candidate will be detail-oriented, resourceful, and able to manage multiple tasks with discretion and efficiency. You will be someone who thrives in a fast-paced environment and has a strong ability to manage priorities independently.

Responsibilities:

  • Manage and maintain executives' calendars, including scheduling meetings, appointments, and events.
  • Handle incoming and outgoing communications, including emails, phone calls, and correspondence, and prioritize them as necessary.
  • Coordinate and book travel arrangements, including flights, hotels, transportation, and itineraries.
  • Organize and maintain executive files, documents, and records, ensuring easy access to important information.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Assist with personal errands and administrative tasks, ensuring that both work and personal responsibilities are handled efficiently.
  • Liaise with clients, colleagues, and external partners on behalf of executives, ensuring clear and professional communication.
  • Handle sensitive information with discretion and confidentiality.
  • Organize and prepare materials for meetings, including agendas, presentations, and briefing documents.
  • Assist in the planning and coordination of company events, conferences, and special projects.
  • Act as a point of contact for internal and external stakeholders, providing excellent customer service and support.
  • Manage ad-hoc requests and provide additional support to the executive team as needed.

Qualifications:

  • Proven experience as an Executive Assistant, Personal Assistant, or similar role.
  • Exceptional organizational and time-management skills, with the ability to manage multiple priorities and tasks.
  • Excellent written and verbal communication skills, with a professional and courteous demeanor.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), and familiarity with project management tools (e.g., Asana, Trello).
  • Ability to handle confidential information with the utmost discretion.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently with minimal supervision while maintaining a high level of professionalism.
  • Flexibility and adaptability to handle changing priorities and last-minute requests.
  • Strong interpersonal skills, with the ability to interact effectively with executives, clients, and team members.
  • A positive, proactive attitude with a commitment to getting things done.

Preferred (but not required):

  • Experience in a fast-paced corporate or executive environment.
  • Familiarity with additional office tools or software (e.g., Google Workspace, Slack, Zoom).
  • Experience with event planning or managing logistics for company-wide events.
