About The Role

As our on-site Operations & Finance Coordinatorin Brazil, you'll coordianate finances, administration and a local team with the German ZeroEx headquarter. That includes administrative tasks, task distribution, compliance and reporting. 

What You'll Do
  • Equipment & Machinery: Source, purchase, track, and insure equipment; maintain inventory; schedule maintenance; manage vendors & repairs.
  • Expenses & Cash Flow: Own AP/AR, reimbursements, PIX/boletos, petty cash; reconcile cards & bank; month-end support with accountant; keep clean document trail.
  • Procurement & Logistics: Get quotes, POs, and contracts in place; coordinate shipping (domestic & imports), customs broker, and delivery to field sites (e.g., different states).
  • Compliance Admin: Issue/collect Notas Fiscais (NFS-e), file/support ISS/ICMS where relevant with external contador; maintain contract & policy files.
  • Reporting to PBO & German HQ: Weekly ops/financial dashboard (spend, inventory, open POs, vendor issues), meeting notes, and action tracking.
  • People Ops Support: On/offboarding checklists, time/expense tracking, travel bookings, health/safety documentation; coordinate with Personio/HR.


Desired Knowledge And Experience
  • 3–5+ years in admin/ops/finance at a startup/SME in Brazil.
  • Hands-on with Notas Fiscais (NFS-e), vendor onboarding, AP/AR, and basic Brazilian compliance workflows (ISS, service invoices, receipts).
  • Strong Excel/Sheets, Notion/Drive, and comfort with ERPs (Omie/ContaAzul/QuickBooks) and PIX/boleto flows.
  • Vendor management & procurement experience; basic import/logistics coordination.
  • Portuguese & English fluency; concise reporting. (German is a plus.)


Preferred Skills
  • Field-ops exposure (agri/mining/industrial), HSE basics.
  • Familiarity with Personio, Notion, and simple BI dashboards.
  • Experience working with Germany-based HQs or cross-border teams.
