Office Coordinator (all genders)
Your future tasks:

  • Serve as the first point of contact for visitors, employees, service providers, and suppliers, ensuring a professional and welcoming office environment.
  • Manage day-to-day office administration, including handling incoming and outgoing mail and parcels, booking conference rooms, and coordinating meetings.
  • Oversee procurement of office supplies and equipment, ensuring availability and cost- efficiency.
  • Support the planning and execution of internal events and take ownership of all organizational aspects related to the Hamburg office.
  • Coordinate and optimize travel arrangements for employees, including negotiating with travel vendors, implementing cost-effective travel policies, and ensuring policy compliance through efficient systems for booking and expense tracking.
  • Oversee and enforce office and social area housekeeping standards, including coordinating with facilities and cleaning company, managing consumable supplies and ensuring daily upkeep of coffee and water machines.
  • Collaborate closely with the Front Desk team in Bremen and other office locations to maintain smooth communication and consistent operational standards across all sites.

Your profile:

  • You have successfully completed a commercial apprenticeship or have acquired a comparable qualification and are already experienced in a similar position.
  • Moreover, you are fluent in written and spoken English and German.
  • In addition, you are proficient in the usual Microsoft Office applications (Outlook, Word, Excel, Teams).
  • You are organized and bring a high degree of service orientation, a willingness to help as well as good team spirit.
  • Furthermore, you have a friendly, open and communicative personality.
  • Your goal-oriented way of working and your reliability round off your profile.
