Office and HR Manager EMEA

Vention is seeking a highly skilled and organized Human Resources Coordinator to join our EMEA team. As a key member of our HR department, you will be responsible for providing administrative support to our office and team, ensuring seamless day-to-day operations.
Key Responsibilities- Office Management:
- Ensure a welcoming and supportive environment for team members and guests, coordinating room preparation and catering for meetings, trainings, and events.
- Procure office supplies and equipment in an efficient and cost-effective manner.
- Manage internal and external partnerships, including property management, suppliers, and service providers.
- Coordinate travel arrangements for employees, ensuring compliance with company policies and budgets.
- Organize team-building and culture events to foster a positive and inclusive work environment.
- HR Administration:
- Maintain accurate and up-to-date HR databases and employee files.
- Process employment agreements, contractual changes, and verification of employment letters.
- Manage time and attendance, sick leave, and other compliance matters related to local legislation.
- Provide exceptional support to employees regarding workplace policies, career development, and employee relations.
- Coordinate onboarding for new team members, including welcome packages and office tours.
- Collaborate with the global HR team to develop and maintain HR policies and processes.
- Effectively communicate with executives and senior management.
- Support performance management procedures, including performance reviews, warnings, and terminations.
- Assist with change management initiatives in collaboration with the global HR team.

- Compliance:
- Collaborate with external resources and partners regarding legal and immigration matters.
- Support payroll accounting and OHS matters.
- Talent Acquisition:
- Support recruitment and retention efforts through effective recruitment practices.
- 2+ years of experience in managing administration and operations for an office or comparable experience.
- Strong communication skills in English and German (written and spoken).
- Hands-on nature and ability to work autonomously.
- Self-motivated and self-organized team player with a problem-solving attitude.
- Ability to prioritize and remain calm in stressful situations.
- Excellent communication and interpersonal skills.
