Role Overview
Reporting directly to the Office Service Coordinator or Facilities Manager, the Facilities Operations Specialist is tasked with supporting various functions to ensure the seamless operation of facilities management services within the building.
Key Responsibilities
- Evaluating building maintenance concerns through regular inspections and documenting observations.
- Collaborating with the Facilities Manager and Moves and Changes team to address internal space needs and assist with team relocations.
- Monitoring inventory levels of office supplies and consumables, placing orders with vendors as necessary.
- Coordinating internal relocations within the facility alongside the Facilities Manager.
- Partnering with the Facilities Manager and Moves and Changes team to maintain accurate floor plans.
- Assisting in the organization of in-house and external events as required.
- Coordinating with the Building Operations team to report any defective health and safety equipment and facilitate repairs.
- Supporting the Office Service Coordinator with vendor management and soft service assistance as needed.
- Overseeing fire wardens and first aiders, assisting with scheduling training and refresher courses as necessary.
- Maintaining and reviewing manuals, handbooks, and guidance documents.
- Providing coverage for reception duties when required.
- Understanding the primary responsibilities of meetings and events, supporting the M&E Specialist as needed.
- Managing daily mailroom operations, including deliveries and inquiries.
- Familiarizing oneself with basic procedures, courier services, and key external contacts.
- Managing mail-related supply inventory and placing orders as needed.
- Performing additional tasks and responsibilities as assigned.
- Responsibilities are MST 12 & DUS10.
- Managing the client ticket portal (SIM-T) and assisting with the CORRIGO ticket system.

- Reception or hospitality experience is advantageous.

- Familiarity with facilities management processes is preferred.
- Proficiency in IT skills, including Outlook, Excel, and Word.
- A professional, friendly, and welcoming demeanor.
- Strong attention to detail.
- The ability to take initiative.
- Excellent communication skills.
- Organizational skills with the ability to prioritize a busy workload.
- A background in customer service is essential.
- Proficiency in both German and English, both spoken and written.
