Role Overview

As a Facilities Operations Specialist, you will report directly to the Office Service Coordinator or Facilities Manager. Your primary responsibility will be to support the smooth operation of facilities management services within the building.

Key Responsibilities

  • Conduct regular inspections of the building to identify maintenance needs and document findings.
  • Collaborate with the Facilities Manager and Moves and Changes team to address space requirements and facilitate team relocations.
  • Monitor inventory levels of office supplies and consumables, placing orders as necessary.
  • Assist in managing internal relocations in coordination with the Facilities Manager.
  • Work with the Facilities Manager and Moves and Changes team to maintain accurate floor plans.
  • Support the organization of in-house and external events as required.
  • Coordinate with the Building Operations team to report and arrange repairs for any health and safety equipment issues.
  • Provide assistance to the Office Service Coordinator in vendor management and soft service support.
  • Oversee the scheduling of training for fire wardens and first aiders as needed.
  • Maintain and review manuals, handbooks, and guidance documents.
  • Cover receptionist duties when necessary.
  • Understand the primary responsibilities of Meetings and Events and assist the M&E Specialist as required.
  • Manage daily mailroom operations, including deliveries and inquiries.
  • Stay informed about courier procedures and maintain relationships with external contacts.
  • Manage mail-related supplies and reorder when necessary.
  • Perform additional tasks and responsibilities as assigned.
  • Manage the client ticket portal and support the CORRIGO ticket system.

  • Experience in a high-profile corporate environment.
  • Background in reception or hospitality is advantageous.
  • Proactive and hands-on approach to supporting team members.
  • Familiarity with Facilities Management processes is preferred.
  • Proficient in IT skills, including Outlook, Excel, and Word.
  • Professional demeanor with a friendly and welcoming attitude.
  • Strong attention to detail and ability to take initiative.
  • Excellent communication and organizational skills, with the ability to prioritize tasks effectively.
  • Customer service experience is essential.
  • Proficiency in both German and English, both spoken and written.
