Role Overview

Reporting directly to the Office Service Coordinator or Facilities Manager, the Facilities Operations Specialist role is designed to support all aspects of ensuring the seamless operation of FM services within the building.

Key Responsibilities

  • Conducting regular assessments of building maintenance needs through weekly inspections and documenting findings.
  • Collaborating with the Facilities Manager and Moves and Changes team to address internal space requirements and facilitate team relocations.
  • Monitoring inventory levels of office supplies and consumables, placing orders with vendors as necessary.
  • Assisting the Facilities Manager with internal relocations within the building.
  • Working alongside the Facilities Manager and Moves and Changes team to maintain accurate floor plans.
  • Supporting the organization of in-house and external events as required.
  • Coordinating with the Building Operations team to report any defective health and safety equipment and arrange for repairs.
  • Assisting the Office Service Coordinator with vendor management and soft service support as needed.
  • Overseeing fire wardens and first aiders, including scheduling necessary training and refresher courses.
  • Maintaining and reviewing manuals, handbooks, and guidance documents.
  • Covering receptionist duties when necessary.
  • Understanding the primary responsibilities of meetings and events, providing support to the M&E Specialist as required.
  • Managing daily mailroom operations, including deliveries and inquiries.
  • Familiarizing oneself with basic procedures, courier suppliers, and key external contacts.
  • Managing inventory of mail-related supplies and placing orders as needed.
  • Performing additional tasks and responsibilities as assigned.
  • Responsibilities include MST 12 & DUS10.
  • Managing the client ticket portal (SIM-T) and providing support with the CORRIGO ticket system.

  • Prior experience in a high-profile corporate environment.
  • Experience in reception or hospitality is advantageous.
  • A proactive and hands-on approach, willing to support team members.
  • Preferably, knowledge of Facilities Management processes.
  • Proficiency in IT skills, including Outlook, Excel, and Word.
  • A professional, friendly, and welcoming demeanor.
  • Strong attention to detail.
  • The ability to take initiative.
  • Excellent communication skills.
  • Strong organizational skills with the ability to prioritize a busy workload.
  • A background in customer service is essential.
  • Proficiency in both German and English, both spoken and written.
